When a new staff member starts, how you set them up will depend on their role in your practice. These adjustments include client sharing adjustments, creating user specific schedules, sharing calendars between users and many more.
β
Below is a step by step guide for all the set up and permissions needed.
Set up a receptionist or admin staff member
A Receptionist or admin staff member is someone in your practice who does not treats clients, and should not have unlimited access to your coreplus account. See Users and Permissions for full details on the different access levels in coreplus.
Tasks for you, the supervisor, to complete
Create a new user in coreplus with Accounts Admin access level
Set up the users feature permissions, depending on what they will need to access in coreplus. For admin staff we recommend setting the Case Notes access to No, to protect your client's privacy
Tasks for the new user to complete
Have the new user set up their calendar view and appointment defaults.
If you're using SMS or Email reminders, make sure to set these defaults to Yes in the Calendar Setting Defaults tab
In the Other tab, make sure to select the correct timezone
Tasks for other staff members to complete
Each Case Manager or Supervisor will need to share their calendar with the new staff member
Setting up a practitioner or case manager
A Practitioner or Case manager is someone in your practice who treats clients, but should not have unlimited access to your coreplus account. See Users and Permissions for full details on the different access levels in coreplus.
Tasks for you, the supervisor, to complete
Create a new user in coreplus with Case Manager access level
Set up the user's feature permissions. For a practitioner, we recommend setting the Case Notes access to Yes - My clients only or Yes - My and shared clients, so your case manager can view and write case notes for their clients
By default, case managers can only see their own clients in coreplus. If you want your case managers to be able to see each other's clients in coreplus you'll need to Share Clients between case managers.
If you're making Medicare claims, add the case managers provider number
Tasks for the new user to complete
The Case Manager will need to share their calendar with reception or other staff members
Set up the case manager's schedule, you can even add colour to make it easier to see when the practitioner is working
Have the new case manager set up their calendar view and appointment defaults
Tasks for other staff members to complete
If your case manager will need to see other practitioner's calendars, each Case Manager or Supervisor will need to share their calendar with the new staff member.
