Quickly and easily calculate hours spent with a participant and the total invoice amount between two dates

The Appointment Time Calculator allows you to calculate the number of hours your clients have spent with a practitioner/s for different types of appointments within a date range. NDIS providers can use it as an NDIS calculator as they require to calculate the hours spent with a participant across the entire business.

With the Invoicing Calculator, you can calculate how much money the practice generated from invoices under different practioner/s for different service types.

Enabling the Appointment Time Calculator and Invoicing Calculator

1. From the Dashboard, go to Setup > Settings

2. Select Interface Settings

3. Next to Appointment Time Calculator and Invoicing Calculator, select Enabled and click Update


Appointment Time Calculator

For NDIS providers, it is necessary to be able to calculate the hours spent with a participant across the entire business. The appointment time calculator feature allows you to set a rule to calculate how many hours have/ will be delivered to a Client/ Participant. This valuable feature empowers businesses to reduce the likelihood of delivering services outside the available/ funded service.

Please, follow the below steps to set up your NDIS Appointment Calculator:

1. From the Dashboard, go to a client's file, then go to Appointments

2. Under Appointment Time Calculator, click Add and select the Practitioners you wish to have the calculator based on

3. Under Label, name the specific type of calculator (i.e. can be physio, psychology, etc)

4. Select the Appointment Type and Appointment Status

5. Select if you wish to calculate based on the Billable status being Billed, Unbilled, or All.

6. Add in the participants' current Available Hrs and click Ok and Calculate

7. To save this view, click Save. Click Edit if you need to make any changes

If you wish to add multiple views, please follow the above steps again.

Invoicing Calculator

The Invoicing Calculator allows you to calculate the amount spent between two dates quickly.

1. From the Invoicing page, select the Practitioners, Service Type, Start, and End date

2. Click Calculate to view the current $ amount invoiced
